Cancellation Policy
How to stop recurring payments, understand your remaining access and keep control of company records.

Cancellation at a glance

You can stop future recurring Accounting Pilot charges without deleting your company workspace. This policy explains the cancellation steps, timing and effect on access.
1. Who may cancel
The company owner or a user administrator with billing authority may cancel the workspace subscription. We may verify the requester’s identity, registered email and authority before processing a support-assisted cancellation.
2. Cancel in the app
Sign in at app.accountingpilot.co.za, open Settings & Users, go to the Subscription area in Account settings, select Cancel subscription and confirm. The app sends the cancellation to PayFast and records the subscription as cancelled when the provider accepts it.
Keep the on-screen confirmation or related email for your records. If the self-service option is unavailable, email support@accountingpilot.co.za from the registered owner or administrator email and include the company name.
3. Monthly subscriptions
A monthly subscription may be cancelled at any time without an Accounting Pilot cancellation fee. Cancellation stops future automatic renewals. Unless applicable law or a confirmed remedy requires otherwise, access continues until the end of the monthly period already paid and that used period is not prorated.
Cancel before the next renewal date shown in the Subscription area. Requests received after PayFast has already started or completed a renewal may apply from the following billing period, subject to any refund or consumer right that applies.
4. Annual and fixed-term subscriptions
You may cancel automatic renewal of an annual plan at any time, and access will normally continue until the paid annual period ends.
Where section 14 of the Consumer Protection Act 68 of 2008 applies to a fixed-term agreement, the consumer may cancel before expiry by giving 20 business days’ notice in writing or another recorded form. A reasonable cancellation charge may be applied only to the extent permitted by that Act and its regulations. Section 14 does not apply to transactions between juristic persons, although other rights may still apply.
5. Cooling-off cancellations
Some electronic or direct-marketing transactions may carry statutory cooling-off rights. These rights and the related refund treatment are described in the Refund Policy. A statutory right takes priority over an inconsistent part of this policy.
6. What happens after cancellation
- PayFast should no longer collect future recurring package charges after the cancellation is accepted.
- The Subscription area will show the updated billing status.
- Paid access normally remains available through the current paid period.
- After that period, the workspace may pause or become restricted until a paid package is reactivated.
- Cancellation does not automatically delete the company workspace or its records.
Export any business records that must be retained before access ends. Personal-information retention and deletion are governed by the Privacy Policy and applicable legal, tax, security and contractual duties.
7. Failed payments and suspension
A failed or reversed payment is not the same as a cancellation request. We may retry a permitted recurring payment, mark the subscription past due or pause access. Use the in-app cancellation control or contact support if you intend to stop the subscription.
8. Re-activating later
An authorised owner or administrator may choose an available paid package later and complete a new secure PayFast checkout. Current prices, modules and user limits at reactivation will apply.
9. Support-assisted cancellation
For help, email support@accountingpilot.co.za, call 071 879 7036 or use the Contact Us page. Include the workspace name and registered email, but never send a card number, PIN, CVV or banking password.
10. Applicable rights
This policy is subject to applicable South African law and does not remove a cancellation right that cannot lawfully be waived. The official Consumer Protection Act and Electronic Communications and Transactions Act are available from the South African Government.
